Privacy Policy

AevenSpace ("we," "us," "our") is a student workspace. This policy explains what information we handle when you use AevenSpace at aevenspace.org (the "Service") and the choices you have. If anything here is unclear, email us at aevenspace@gmail.com and we'll answer plainly.

1. The short version

We collect the minimum needed to run your workspace: your account details and the study data you create. Your well-being check-ins are private to you and are used only to shape your own schedule. We don't sell your data, we don't show ads, and we don't share your personal information with third parties except the infrastructure providers that make the Service work.

2. Information we collect

Account information. When you sign up, we collect your name, email address, and password (passwords are handled by our authentication provider, Google Firebase, and are never stored by us in readable form). If you sign in with Google, we receive your name and email from Google.

Study data you create. Courses, assignments, grades, calendar events, focus sessions, goals, projects, notes, and any content you add. Optionally, your school and grade level if you choose to provide them for state-specific course suggestions.

Well-being check-ins. If you use the wellness feature, we store the mood, energy, stress, and focus values you enter, plus any private journal notes. This is sensitive information, and we treat it that way — see section 3 below.

Imported data. If you connect an integration (Canvas, Google Classroom, Todoist, or a calendar feed), we import the assignments and due dates you choose to sync. Access tokens for these connections are stored on your own device, not on our servers.

Usage and device information. To keep the Service running and understand basic adoption, we record lightweight metadata such as when your account was created, when you were last active, your browser and operating system type, and your language. We do not use third-party advertising or cross-site tracking.

Site visits. We count visits to our public pages so we know which ones are useful. This is first-party and cookieless: each visit increments a daily total, and we record the page, the referring site, and whether the device is a phone, tablet or desktop. We do not set a cookie, store an identifier, keep your IP address, or link a visit to you or to any account. If your browser sends a Do Not Track signal, the visit is not counted at all.

3. How we use your information

We use your information only to provide and improve AevenSpace: to run your account, save and sync your data across your devices, generate your schedule and Aeven AI suggestions, and keep the Service reliable and secure.

Your well-being check-ins are used solely to personalize your own experience — for example, to pace your day or adjust Aeven's suggestions when you report high stress. They are never sold, never used for advertising, and never shown to any other user. You can delete them at any time from within the app.

4. Aeven AI and how it processes your data

When you use Aeven AI (chat, breakdowns, quizzes, or voice), the text of your request — and relevant context from your own data, such as your course names and upcoming deadlines — is sent to our AI processing providers (currently Groq, which hosts the language model, and ElevenLabs for optional voice) to generate a response. These providers process the request to return an answer and, per their terms, do not use it to train their models by default. We send only what's needed to answer your request. If you'd rather not use AI features, you can simply not use them; the rest of AevenSpace works without them.

5. Where your data lives

Your data is stored in Google Firebase (Firestore), and a copy is kept locally in your browser so the app works quickly and offline. Security rules restrict your stored data so that only you (and, for support and safety purposes, the AevenSpace administrator) can access it.

6. Who can see your data

We do not sell your personal information and we do not share it with third parties for their own marketing. We share data only with:

  • Infrastructure providers that operate the Service — Google Firebase (authentication, database, hosting) and our AI providers (Groq, ElevenLabs) as described above.
  • The AevenSpace administrator, who can access account data for support, safety, and to keep the Service running.
  • Authorities, if required by law, or to protect someone's safety.

7. Students and younger users

AevenSpace is built for students, and we know some are minors. We collect only what's described above and never knowingly use a child's information for advertising or sell it. If you are under 13 (or the age of digital consent where you live), please use AevenSpace only with the involvement of a parent, guardian, or school. If you are a parent or guardian and believe your child provided us information without appropriate consent, email aevenspace@gmail.com and we will delete it promptly.

8. Your choices and rights

You can view and edit your data anytime inside the app. From Settings you can erase all of your data on the device, and you can reset or clear your well-being history. To delete your entire account and the data associated with it, email aevenspace@gmail.com and we will process the request. Depending on where you live, you may have additional rights (access, correction, deletion, portability) under laws such as the GDPR or CCPA — contact us to exercise them.

9. Data retention

We keep your data for as long as your account is active. If you delete your account, we remove your stored data from our systems, though residual copies may persist briefly in backups before being overwritten.

10. Security

We use Google Firebase's authentication and database security, with access rules that scope each person's data to themselves. No system is perfectly secure, but we work to protect your information and to fix issues quickly if they arise.

11. Changes to this policy

We may update this policy as AevenSpace evolves. When we make material changes, we'll update the date above and, where appropriate, notify you in the app. Continuing to use the Service after a change means you accept the updated policy.
